Backup & Sync
Your Utiful library is a separate storage space locally on your device, where you can store photos and videos in organized folders. It is hence important to back up your Utiful folders, in order to prevent data loss in case you lose your device or accidentally delete the app.
We recommend the following best-practice backup strategy. Details about the different options as well as troubleshooting instructions are provided further below.
BEST-PRACTICE BACKUP STRATEGY
SYNC
Turn on the "Utiful Cloud Library" switch in "Settings" > "Backup & Sync". This will enable the current device to sync with all your other iOS devices where the Utiful sync is activated.
The initial sync can take some time, during which the app should remain open. After you turn on the "Utiful Cloud Library", it starts syncing and the progress is shown at the bottom of the Folders screen. Because the sync is only performed while the app is open, we recommend to leave the app open to complete this initial sync. Subsequent sync operations only sync new items and changes, which is normally done quite fast.
DETAILS & TROUBLESHOOTING
General considerations when using the "Utiful Cloud Library" for backup & sync:
Monitor the sync progress at the bottom of the Folders screen. If a sync operation is in progress, you will see it at the bottom of the Folders screen, where normally the number of folders and photos is shown. During a sync of the folder structure, the status shows "Syncing....". While syncing files, it also shows their number, e.g. "Syncing... 30 items".
You can manually trigger a sync operation anytime by tapping on the number of folders and photos at the bottom of the Folders screen.
If the sync can't be completed, it shows a warning at the bottom of the Folders screen. At the end of a sync operation, the sync result is shortly shown at the bottom of the Folders screen as follows:
Check the status of the Utiful Cloud Library with button "Status" in "Settings" > "Backup & Sync". The button is only visible when the "Utiful Cloud Library" switch is turned on. The button shows the sync status of the current device. If the "Central backup in iCloud" option is enabled, the status of the iCloud backup is shown, too. The status always shows two numbers separated by a slash, e.g. "190 / 290". The first number is the number of items currently available in the respective storage, and the second number is the total number of items that must be made available in the respective storage. The example "190 / 290" means that of a total of 290 items, 190 have been made available in the respective storage and further 100 have yet to be made available.
Do not only rely on cloud backup but back up your Utiful folders to your computer, too. Cloud technology is very useful but any technology is prone to errors. We therefore recommend that you also regularly create a backup copy of your Utiful folders to your computer, e.g. once a month. On the Folders screen, tap "Select" > "Select All" > "Export" > "Export to iTunes" and follow the instructions shown on the screen. If you do not have enough storage capacity on your computer, you can also use an external hard drive.

Understanding the differences between "Utiful Cloud Library" and iCloud Drive:
The "Reset Utiful Cloud Library" button in "Settings" > "Backup & Sync" permanently deletes the Utiful Cloud Library from your iCloud. It has no impact on the local Utiful library on the device, which will remain intact. Use this button only if you have been instructed so by our support team or if you are completely sure that you want to permanently delete the the Utiful Cloud Library from your iCloud account. You can contact our support team anytime through "Settings" > "Feedback" or via email to [email protected].

The "Utiful Cloud Library" is a separate part of your iCloud account that keeps a backup of your Utiful folders when additionally the "Central backup in iCloud" option is enabled.
- Make sure that the regular device backup in iCloud is enabled in your iOS Settings > "Apple ID" > "iCloud" > "Backup". The regular device backup will also include your Utiful folders, if they are not yet backed up by Utiful in the "Utiful Cloud Library".
- Make sure to regularly create a backup copy of your Utiful folders to your computer, e.g. once a month. On the Folders screen, tap "Select" > "Select All" > "Export" > "Export to iTunes" and follow the instructions shown on the screen.
- Keep in mind that transfers to/from the cloud storage are only made when the Utiful app is open in the foreground of the respective device.
- The "Backup & Sync" functionality requires an Internet connection. You can use Utiful also without an Internet connection but changes you make while being offline (e.g. creating new folders, adding new photos) will only be backed up / synchronized when you get online again and use the app (that is, have the app open in the foreground). On the "Backup & Sync" screen you can also control whether mobile Internet connection can be used for transfers of photos/videos. If you disable the mobile data usage for photos/videos, the outstanding transfers will be performed when you get connected to a WiFi again and use the app.
- Keep in mind that when you file photos from another app to Utiful using the "Save to Utiful" sharing option, the photos get synchronized to your other devices as soon as you open the Utiful app on the device where you filed the photos.
- "Done" – the sync operation finished successfully and everything is synced as it should.
- "Connection problem" – the sync couldn't be completed because there is no connection to the Internet.
- "Some items require Wi-Fi connection" – the sync couldn't be completed because some of the items to be synced require a Wi-Fi connection. To resolve this, either connect to Wi-Fi and retry, or enable the usage of mobile data in "Settings" > "Backup & Sync" > "Mobile Data".
- "Storage full" – the sync couldn't be completed because your iCloud storage is full and no further items can be uploaded/synced to it. To check the status of your iCloud storage, go to the "iOS Settings" > "Apple ID" > "iCloud".
- "Some items not yet available" – the sync couldn't be completed because the current device needs to download items, however the device where these items reside could not yet upload them. To resolve this, open the app on the other device and let it upload the items, after which the initial device can download them and complete the sync.
Understanding the differences between regular iCloud device backup and the backup with the Utiful Cloud Library, including the case when upgrading to a new device:
- The regular iCloud device backup is standard iOS way to keep a backup of your device in iCloud. If it is enabled (iOS Settings > "Apple ID" > "iCloud" > "Backup"), all your Utiful data will be automatically backed up in it, too. Please consider that this backup is normally performed by iOS automatically once a day when your device is connected to a Wi-Fi network. If you are using the "Utiful Cloud Library" backup (see also next paragraph) but not all of your Utiful folders have been already uploaded to it, they will still be included in the regular iCloud backup and will be excluded from it only after they have been fully backed up in the "Utiful Cloud Library".
- When your Utiful folders are backed up using the regular iCloud backup and you upgrade to a new device by restoring the latest iCloud backup of your old device onto the new one, restoring the Utiful app might take hours. If it takes very long, do not delete the app but rather contact our support team via email to [email protected].
- You can choose to backup your Utiful folders in the Utiful Cloud Library by turning on both switches "Utiful Cloud Library" and "Central backup in iCloud" in "Settings" > "Backup & Sync". The Utiful Cloud Library is a separate part of your own iCloud account, dedicated to backing up your Utiful folders and syncing them to your other iOS devices. The backup and sync is done every time you use the app.
- When your Utiful folders are backed up using the "Utiful Cloud Library" and you upgrade to a new device, you simply need to open the app and enable the "Utiful Cloud Library" again.
Understanding the switches "Utiful Cloud Library" and "Central backup in iCloud" in "Settings" > "Backup & Sync":
- If "Utiful Cloud Library" is ON and "Central backup in iCloud" is ON, Utiful will upload and backup everything you store in it to the "Utiful Cloud Library", which is part of your iCloud account. Utiful will also sync to your other iOS devices, where you have enabled the Utiful sync.
- If "Utiful Cloud Library" is ON but "Central backup in iCloud" is OFF, Utiful will sync to your other iOS but it won't keep a backup in the Utiful Cloud Library. In such case, the Utiful Cloud Library is only used as an intermediary for the sync operation. For backup reasons, everything you store in Utiful will be part of the next backup of your device (either your regular iOS iCloud backup or a manual iTunes backup).
- If "Utiful Cloud Library" is OFF (in such case the "Central backup in iCloud" option is not visible), everything you store in Utiful will be part of the next backup of your device (either your regular iOS iCloud backup or a manual iTunes backup).
Understanding the differences between "Utiful Cloud Library" and iCloud Drive:
- iCloud Drive is a part of your iCloud storage. Utiful doesn't sync through iCloud Drive but it creates the "Utiful Cloud Library" within the rest of your iCloud storage.
- Nevertheless, iCloud Drive needs to be enabled in the iOS Settings > "Apple ID" > "iCloud" in order for the Utiful sync to work (this switch means that third party apps can use iCloud as a storage). Utiful will notify you, if this switch is not enabled.
Transfer & Restore
Transfer Utiful when upgrading to a new iPhone/iPad
As usual when upgrading to a new iOS device, make a fresh backup of your old device in iTunes or iCloud and restore the backup to the new device, which will also restore Utiful. See also Apple's article "Restore your iPhone, iPad, or iPod touch from a backup".
The first time you start the app, you might need to manually enable the "Utiful Cloud Library" switch in "Settings" > "Backup & Sync" to let the app download your pictures from the backup.
If restoring the Utiful app from the backup takes long, do not delete the app but give it time to restore. Best would be if you leave your iPhone switched on during the night connected to power and connected to Wi-Fi, so it can restore the data during the night. You will know that it has completed as soon as the app's icon is normally shown on the iPhone's home screen. If the app hasn't restored also after one whole day, contact our support team via email to [email protected].
Restore Utiful after device damage or loss, or after unintentionally deleting the app
If you can't use your iOS device because it was damaged or lost, or if you delete the app by accident, here is how you can restore your Utiful library to a new device.
If you have a recent iTunes/iCloud backup of your device, restore it (to the new device) and proceed as described in the "Transfer Utiful when upgrading to a new iPhone/iPad" section above.
If you neither have a backup of your old device nor were you using the "Utiful Cloud Library" on your old device, chances are that you have manually exported and archived your Utiful folders to your computer. In such case, import the archived folders from the computer to Utiful as described in "Importing folders from computer".
Transfer Utiful from iOS to Android
If you decide to move from iOS to an Android device, you can move your Utiful library, too. To this end, export your Utiful folders from your iOS device to your computer as described in "Exporting folders". Then proceed as described in the Utiful Android User's Manual > Backup > Restore.

FAQ
When I move photos from the iOS camera roll to Utiful folders, why do I have to confirm the deletion from the camera roll?
iOS prevents third-party apps to delete photos from the camera roll without the user's explicit consent.
When I move photos from the iOS camera roll to Utiful folders and confirm the deletion from the camera roll, do they get physically deleted from the camera roll?
Not immediately, iOS stores them for 40 days in the "Recently deleted" album of the Photos app, just in case. You can permanently delete them from there anytime within these 40 days. Note: This is standard iOS behavior, it has nothing to do with Utiful.
I moved a photo to Utiful but it's still in my camera roll, too. Why?
If you moved the photo using the Utiful app, you were asked to allow the deletion of the photo from the camera roll and you disallowed it. If you saved the photo directly from the Photos app to Utiful, you probably forgot to delete it afterwards.
After I moved photos to Utiful, it seems that my phone has less storage than before. Why?
When you move a photo from the camera roll to Utiful, the photo first gets copied by Utiful to the Utiful folder and then deleted by iOS from the camera roll. However, iOS doesn't immediately delete the photo physically but stores it in the "Recently deleted" album of the iOS Photos app for 40 more days, just in case. This is standard iOS behaviour, it has nothing to do with Utiful. iOS will physically delete such photos in 40 days unless you do this manually before that.
I get the error, "Import failed – Storage full". What should I do?
To free up storage, open the Photos app, open its "Albums" view, open the "Recently deleted" album, tap "Select", "Delete all".
I know that in a folder I can sort photos by the date they were taken, but can I use Utiful to sort my camera roll too? (I recently received photos over AirDrop and they were added at the end of the camera roll and made it out of order)
Yes, you can do this indirectly. To sort photos recently added to the camera roll, proceed as follows. Open Utiful, tap "Add Photos", choose the "Recently Added" album using "Tap here for options", select all photos with "Select All" and move them all to a new folder e.g. "Photo Sort". Then open the new folder "Photo Sort", tap "Organize", tap the calendar button and sort by date taken. Now select all photos in the folder with "Select All" > "Export/Share" > "Save to Photos App" > "All Photos" and after the photos are saved back into the camera roll, already sorted by date taken, delete them from the Utiful folder (or alternatively, delete the whole folder).
Can I somehow crop and annotate a Utiful photo (e.g. write something on it or draw a circle or an arrow on it), and if yes - how?
In one of the next versions we will introduce editing functionality - cropping, rotating, writing text, drawing with the finger. Until then, annotating is possible with the third-party free app called Annotable. To annotate a Utiful photo with it, select it in Utiful, tap "Export/Share" and choose "Annotable" from the lower activity bar, which opens the share extension of the Annotable app where you can annotate the photo. When you're done, tap "Export/Share" within Annotable and choose "Save to Utiful" to save back the annotated copy of the photo.
Can photos in Utiful be used as wallpaper for my phone's homescreen / lockscreen?
Yes, however this is not straightforward because iOS prohibits third-party apps to change the device's wallpaper. You need to save the image from Utiful to the Photos app, so you can set it as a wallpaper using the Photos app then.
Once I have sorted my photos into Utiful folders, can I transfer them from my iPhone/iPad to my computer?
Yes, easily. Refer to the "Exporting folders" section in the User's Manual above.
When I export a Utiful photo folder to iTunes and access Utiful from there, I also see one more folder named "Inbox" - what's that?
The "Inbox" folder you see in iTunes is a standard iOS folder used for transferring data over AirDrop. It will appear once you transferred photos from/to Utiful using AirDrop.
I have organized my photos in Utiful folders on my iPhone but don't see them on my iPad, why?
You need to activate the "Utiful Cloud Library" in "Settings" > "Backup & Sync". Refer to the "Backup and Sync" section in the User's Manual above.
My iPad seems not to sync with my iPhone (or vice versa), what shall I do?
Restart the app. If this doesn't help, ensure that the Utiful Cloud Library is enabled in the "Backup & Sync" settings. If it's already enabled and your device is still not syncing, contact us through "Settings" > "Feedback".
I'm getting the error "Cloud storage full", what shall I do?
Troubleshooting options to this error are described in the Backup & Sync section above.
I'm trying to export photos from Utiful back to the camera roll of the Photos app but only "New album" pops up instead?
This is because you haven't granted Utiful sufficient permissions. To resolve this, open the iOS Settings app, scroll to the bottom until you find Utiful, tap on it, then tap on Photos and choose All Photos.
Something seems not to be working with the app. Should I delete it and reinstall it?
Don't do that as this may lead to data loss. Instead, contact us through "Settings" > "Feedback" or use the contact form below on this page.
